New Revokes Feature Deployed to the TRACK Platform in December Release

TRACK Platform Contractor Management Software ReleaseManagement Controls, Inc. launches new software release in December that brings the new revokes feature as well as other features to improve user efficiency within the TRACK Platform.

MCi is continuously looking for ways to use the TRACK Platform to solve daily pain points for our users.  This month we are adding new features to improve user efficiency within TRACK. The most notable is our revokes feature but we have also enhanced email alerts for pending authorizations, added a qualified skill import, and more!

 

Revokes Wizsrd

 

The TRACK Platform’s previous voiding capabilities did not allow users to make edits, corrections, or process credits to individually authorized item(s) without affecting the entire timesheet. With this release, the Revoke Wizard enables Track Coordinators to revoke individual allocations within a timesheet so that individual lines can be corrected to submit credit payments through the TRACK system to bring the systems in sync. Revokes leverage negative allocations to enable corrections without voiding a timesheet. This will cut down on potential extra manual labor that could slow down the daily settlement process. If the SAP or Web Services APIs are in use, configurations will need to be updated to enable negative services entries or to post credit memos. This will need to be done before the Revoke Wizard can be fully utilized.

Will these negative allocation lines show up report inquiries?

Yes, they do show up on report inquiries. There are also two specific reports that are focused on revokes.

 

Can Vendor timekeepers have the ability to revoke?

The revokes functionality is based on permissions. To ensure that there is clear communication between the Vendor and the Track Coordinator, we recommend the Track Coordinator perform the revokes. However, if a owner wants the vendor to have permission to revoke, that can be accommodated. 

 

What happens to the timesheet when specific allocation(s) have been revoked?

The timesheet will still exist and remain unchanged. A new timesheet is created for the revoke allocation and the new allocation. 

 

How do revokes post in SAP?

If you are using our SAP integration, please work with our team to leverage the updated integration necessary to accommodate the revoke feature. The revoke will be shown as a negative timesheet (negative service entry sheet or invoice number) the positive and negative timesheets will be sent separately. Please submit a support ticket to discuss the updated integration necessary.

 

Would you still have capabilities to void timesheets like the past, or do we need to use the revoke wizard?

The voiding capabilities still exist and will be maintained. The revokes wizard is an alternative solution for customers who do not want to void entire timesheets, but want to revoke specific allocations.

 

 

Pending Authorization Alerts

 

Contractors may send charges to Authorizers from previous work dates but without an alert these can get left behind for review and authorization. With this release, TRACK now enables Pending Authorizations email notifications to notify users of pending authorizations regardless of work date.

 

Skill Qualification Imports

 

The manual application of skill qualifications is a manual task that was not optimized for large amounts of data being loaded at once. TRACK provides the option to leverage an import to manage skill qualifications making processing easier and efficient.
